This page explains what personal data we collect, why, who we share it with, and what you can ask us to do with it. We've kept it in plain English.
Who we are
Bristol Web Works is run by [your legal name, or your company name and company number], [business address]. We decide how your personal data is used, which makes us the "controller" of it under UK data protection law.
For anything about your data, email connor@bristolwebworks.com.
When you ask for a mockup or a call
We collect what you type into our forms: your name, business name, email address, phone number, current website and the best time to call.
We use it to make and send your mockup, reply to you, and arrange a call if you ask for one. Our lawful basis is taking steps you've asked for before a possible contract, and our legitimate interest in replying to enquiries.
When we make a mockup you didn't ask for
Sometimes we make a free mockup for a local business before getting in touch. To do that we use information the business has already made public, such as its name, services, photos and public reviews. If you're a sole trader or partnership, some of this counts as personal data.
Our lawful basis is legitimate interests: offering a relevant service to a local business. We keep mockups on private, unlisted pages and remove them after 30 days unless you ask us to keep them. If you'd rather we didn't contact you again, tell us and we won't.
If you become a client
We keep your contact and billing details so we can run your website, handle your edit requests and take payments. Our lawful basis is the contract between us. Direct Debit payments are handled by [payment provider], who process your bank details under their own privacy policy.
When you visit this website
- Our server keeps standard logs (IP address, browser type and the pages requested) to keep the site secure. We delete them after [number] days.
- We don't use analytics, tracking or advertising cookies.
- Our fonts load from Google Fonts, so your browser connects to Google's servers, which see your IP address.
- Private mockup pages may include a video hosted by Loom. Loom may set cookies when you play it.
Who we share it with
We only share personal data with the services we need to run the business. We never sell it.
- Website hosting: DigitalOcean (server in [region])
- Form handling: [form service]
- Email: Microsoft 365
- Payments: [payment provider]
- Our accountant, for tax records
Where one of these services stores data outside the UK, we rely on the legal safeguards it offers for international transfers.
How long we keep it
- Enquiries that don't go further: [12 months] from our last contact.
- Client records: 6 years after our contract ends, because tax law requires it.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, limit how we use it, or stop using it. Email connor@bristolwebworks.com and we'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to sort it out first.
Changes to this policy
If we change how we use your data, we'll update this page and the date at the top.
